Role description
The role of the Secretary is to manage and oversee the workings of the committee. The Secretary organises and heads the weekly meetings for the whole committee. This also includes creating the agenda for the meeting. The Secretary is the first and main point of contact for all other committee members and society members. You will be part of a highly rewarding and like-minded team who support each other.
Responsibilities and general duties of the role
Organising weekly committee meetings and arranging its agenda
Leading the meetings and initiating discussion on important matters
Keeping attendance and minutes of the meetings, creating a summary of important information and updates
Recruiting students for committee roles and other opportunities throughout the year
Handling the maintenance of the website and answering any queries via website or email
Creating emails marketing our events and opportunities for students
Liaising with the President to effectively manage the timetable
As part of the executive, you make more important decisions for the society
Supporting the members on tasks and boosting team morale
Keeping in constant communication with the committee throughout the week
Reviewing the bulletin and proofreading work of committee
Qualities needed for the role
Organised – this is an active role that requires you to be highly organised and aware of the Student Division's activities and member tasks. You need to manage the Student Division well and be available to fellow committee members as the first point of contact.
Good communicator – you must be able to speak clearly and confidently as you conduct meetings and present to members, being approachable and friendly in your relationship with committee members.
Leader – as part of the executive it is important to have opinions and support the President in key decision making. You must also be capable of leading and guiding them on how to manage their tasks.
Team Player – this is a highly interactive role as you are in regular contact and liaison with the committee, members and staff. It is important to work collaboratively and be engaged in discussions and general work.
